  • Process new under contract file

  • Add important contract dates to calendar

  • Gather any missing signatures or documents

  • Request missed signatures throughout the transaction

  • Submit all executed documents to the closing department

  • Draft transaction amendments and addendums

  • Draft inspection and financing releases (excluding remedy requests)

Communication &
Coordination

  • Send introductory emails to all parties

  • Weekly transaction summary emails including:

    • Upcoming due dates & closing reminders

    • Outstanding items/documents

    • Key questions or notes

  • Ongoing correspondence with:

    • Cooperating agents

    • Closing department

    • Title companies & lenders

    • HOA reps & attorneys (as needed)

    • Buyers/sellers at major milestones (e.g., accepted offer, remedy agreement, financing release, and 2 weeks before closing)

  • Schedule the closing with client, title company, and lender

  • Occasionally gather HOA documents and contact information

  • Ensure everything is prepared for a successful close
